How to Plan a Christmas Party

Organising a party sounds like an exciting and fun thing to do. But if you’ve been put in charge of organising your works Christmas party, it’s easy to stress yourself out trying to make it perfect. The secret is organising your party doesn’t have to be complicated and the night doesn’t have to go perfectly either.

You shouldn’t put a lot of pressure on yourself by trying to be perfect when no one really is. The main secret to planning a perfect office Christmas party is just giving it your best shot. Luckily, there are a couple of dos and don’ts that can make the whole process of planning a little bit easier.

Here is a list of what you should do and what you shouldn’t if you’re planning an office Christmas party.

1. Do Invite all Employees

Every member of staff should be invited to the party, regardless of their beliefs, religion, or other personal qualities. Failure to invite some members simply because they don’t celebrate or recognise Christmas may lead to people feeling discriminated against.

To ensure that everyone is comfortable attending the party, you could tweak the name for the event a little bit. Calling your event an “end of year party” could be perfect. It’s very important to ensure that the needs of all members of staff are considered.

Things like food offerings, for example, need to cater to anyone with religious or dietary requirements.

2. Don’t set a bad Example

All managers and senior employees in the workplace should be warned against setting a bad example for others. Misconduct on the part of senior employees can result in uncomfortable working relationships once the party is over.

3. Do Select a Good Venue

Sometimes your workplace may be too small for a big party. In such a case, it’s better to find another venue that better suits the needs of your event. Choosing the right venue can turn a good event into a great one.

4. Don’t Forget the Journeys Home

Not many people will party all night long, especially if they’ve had a busy working day. Everyone will have to relax eventually, and this means taking a journey home, while others might need to spend their night at a nearby hotel.

You should consider making the options that are available clear for everyone who’s had enough and wants to go home. Where possible, you could provide transport home for members of staff. The best idea is to discuss options with everyone and figure out a solution that works for the whole team.

5. Do Book Great Entertainment

Good entertainment is the life of any party. Some great music can make you want to dance all night. You should spend time finding the best DJ that will keep the party mood going. An incredible DJ should be able to set the right mood for the party and keep it going all night long.

You could also include live acts to make the party even more interesting. Oh, and don’t forget the dance floor. Ensure that the venue you’ve chosen has a dance space that is large enough to accommodate all the members of staff.

DJ at Party

6. Don’t Advocate Excessive Drinking

Having a free bar can be mistaken for condoning excessive drinking. No employer wants to be in a situation where they are liable for drunken misconduct from their employees. Having an open bar is not a good idea, especially when it’s an office Christmas party. Remember to make sure there are plenty of soft drinks on offer to include people who don’t drink alcohol.

In summary, the above do’s and don’ts should go a long way in making it easier to plan a successful office Christmas party. The secret is trying to maintain a professional theme while still making it possible for everyone to have a good time. That way everyone can enjoy the night and hopefully become better friends by the time you’re all back in the office.

If you are looking at hiring entertainment such as a DJ this Christmas, be sure to contact Concept Events. We offer bespoke event services such as DJ hire, casino hire, stage hire, live acts and much more. Call us today on 01234 831366, or visit our contact page for more.

How to Host a Christmas Party & What You Need

We all love a party and a celebration, especially when it’s Christmas. During the festive season, it’s time to get all your favourite people together for a fun evening. A good festive party includes decorations, tasty holiday food and an assortment of fun activities for your guests. Christmas parties take planning and preparation, it’s not something you can just throw together. But if you consider all of the below factors your guests will have a great time.

Christmas Party Work Event

What do I need to do to Throw The Best Christmas Party?

Planning Ahead

Planning ahead is an essential part of the Christmas party, although it’s not officially December and you may not feel exactly in the Christmas spirit, you will be thankful in the long run. You ideally want to start planning the Christmas party 4-5 weeks in advance just to make sure you can get everything you need, and this will give you chance to notify all guests a couple of weeks in advance.

Choose a Venue

Are you going to host at home? Or are you thinking of reserving a venue for the event? Having a party at home is a lot easier for you as the food and decorations won’t have to be transported, also having the party at home is a lot cheaper, you will need to consider if you have enough room at home to fit all your guests. Some alternative options would be a local hall, pub or a restaurant.

Cook Everybody’s Favourites

People love picky food – dips, fondues and basically anything covered in cheese. Keep the recipes easy, people love simple food done well. This will also prevent all of the food wastage. Make sure the food is cooked and prepared in plenty of time. You can always ask friends to bring a dish with them this will cut down the amount of stress you are going through to get everything sorted.

Use Paper Plates

Keep the clean-up simple, use recyclable cups, plates and cutlery. This will save you from the daunting pile of dishes in the morning.

Use decorations

Make the venue feel festive, add decorations inside and outside the venue. Start by putting some lights up this can make the venue look beautiful and stand out. You need to choose certain colours that you want to use through-out the venue. To make the night really memorable, why not hire lighting to make sure your guests have a fantastic experience.

Decide on a dress code

Is it a more up-scale or causal event, are you going to set a dress code? It all depends on what kind of party you are planning on hosting. If you do decide to go with a dress code make sure to state this on the invitations.

If you love hosting a Christmas party then push the boat out and go for it, the challenging thing is trying not to overspend. We hope that our blog has been helpful to you and you have a great Christmas party! If you have any questions, please don’t hesitate to give us a call on 01234 831 366 or alternatively head over to our contact page to fill in the online enquiry form.

Benefits of Hiring Live Performance

If you have a noteworthy event to host and you want your guests to have a memorable event, then besides other extravagances, treating them to live music performance is one of the best options to go for. To your guests, live music will not only keep them entertained but it will also ensure there is a good atmosphere. Below are some more elaborate reasons as to why it is beneficial to hire live performing artists.

Brings a sense of originality and authenticity to the music

Let us first compare and contrast the two musical performance scenarios that we often face: recorded performance and live performance. What comes to your mind? Despite the obvious similarity that is likely to come to the minds of music enthusiasts, there is a striking difference in its originality and complementation.

While listening to a simple recording can be favourable in certain scenarios, it does not offer the same level of originality and authenticity as a live performance. For this reason, a live performance is more favourable in regards to major events such as weddings. If your event has a lower budget, however, it could be best to consider recorded music or another type of performance.

Your guests are bound to be engaged

Who would want to spend time having unnecessary conversations or drowning themselves in drinks when an artist is performing live?. All of your guests will be singing to their songs, throwing their hands up in the air, or clapping in acknowledgement of the performance. Live music is an engaging experience that could transform the whole event atmosphere and create amazing memories for the night. If you are thinking about booking a live performer, there is no doubt that your guests will live to remember such a great occasion.

Suits entertainment needs

When you are sure that the musical performance you are about to be treated to is original and is likely to keep you engaged, your heart is bound to jump in anticipation. You are simply going to be entertained. And whether or not the type of music aligns to your taste, you will be obliged to listen whenever others are listening. As well as this, you could get a range of different performers, or have them perform a list of different songs that cater to most people.

Promotes the venue of the events

Most people remember places for the simple reason that they have been there, and not necessarily because they heard of it. With that being said, live performances can serve as a great treat for your guests, and also the venue itself. A good performance stirs interest both in those who were present at the event and to those who heard about the live performance and the venue but did not attend.

Where such performances are above the bar (as often expected), a talk of distinction fills the air. This not only helps the performers, but also the venue. In a nutshell, a live performance can promote event venues, and such venues may be used more frequently whenever more events stand to be hosted within the vicinity.

Thank you for reading this blog. We hope you have a better understanding of what a live performance can provide. If you have any enquiries or wish to contact us, visit our contact page or call us on 0843 886 9672.

An Insider’s Guide to Organising a Conference or Corporate Event.

Organising your event can be daunting and there are lots of things to consider. The most important thing to focus on is WHY you’re hosting your event. What do you intend to achieve? Who is your target audience? Once you are clear on your goals, you can tailor the specifics of your event to suit these aims.

Stage Production

Be Creative

Make sure that your event stands out from all the others your attendees have been to in the last month. Make your event the one that they talk about afterwards. Whether that is through exciting visual displays or quality presenters, no matter what, just get them remembering you for the right reasons.

Consider Your Décor

Nobody likes to be sat in a grey room for hours at a time. Consider using uplighting around the room or colourful displays. It may also be worth using a set or structure to act as a frame for projection screens, or as an interesting backdrop for your presenter. Focus on your theme, put your branding everywhere and use a colour scheme to ensure that everyone is focused on your company or product throughout the event.

Question Your Speaker About their Requirements

What kind of microphone do they prefer? Do they need a lectern? Are they showing any videos or images in their presentation? Be wary of choosing your speaker just for their celebrity status. Ensure that they are relevant and informative and will contribute to helping you achieve the aim of your event.

Audio-Visual Equipment

If you are spending thousands on having video footage filmed in high definition with superb sound quality, it will be wasted on poor quality speakers and a dim, low-resolution projector. Don’t spend thousands on something that doesn’t need it, but do bear in mind that a lower quality projector will not showcase any high-quality images to their full potential.
If you have a larger audience or venue, consider using multiple displays and repeater screens around the room, particularly for events where the screen content is key.

The Right Equipment

Before considering using in house equipment, bear in mind that often hotels and venues do not have dedicated technicians to ensure that their equipment is serviced and up to date with current technology. The in-house equipment has to accommodate the general booker and may not be suitable for your event.  It is worth checking exactly what equipment you have been provided with. There’s nothing worse than turning up at your venue and finding out that your laptop isn’t compatible with the venue’s projector that your entire presentation hinges on.

So… Why use an External AV Company?

  • You can customise the solution to fit your event and brand perfectly, and not be constrained by the in-house offering
  • They will have state-of-the-art technology – a necessity for AV Companies to keep up with the competition
  • You can be sure that your message is seen and heard clearly with an AV Hire Solution
  • Peace of mind – Qualified technicians on site are there to ensure your event runs smoothly – there is nothing more awkward than a microphone buzzing and nobody being able to do anything about it, or a PowerPoint presentation that won’t load.

Things to Consider When Choosing a Venue.

  • Is its location convenient for your attendees to get to? Is there sufficient parking and easy transport links? Is there accommodation nearby for those staying overnight?
  • Does the building reflect your company and purpose? Perhaps look into choosing a venue that is unique to ensure that your event is memorable.
  • How about catering? Ensure that your clients are well looked after in terms of refreshments, whether that be a full meal or teas and coffees supplied throughout the day.
  • Does the space suite your event, are there options for break out session, or networking?

More Tips & Tricks

Keep Things Current

In this day and age, technology is key. Everyone in the room will own a smartphone, laptop or tablet. Use apps and other interactive polling systems to get people involved in discussions where applicable.

Breaks in Between Sessions

It will give people a chance to get a drink and network. Also bear in mind that with shorter sessions of 20 minutes or so, people will take in more information.

Be Prepared

Have contingency plans in place for if your presenter is going to be late. Have a technical run through as early as possible on the day. If you are at ease because everything is going smoothly, your attendees will relax and enjoy themselves.

Engage with Suppliers Early

Try to plan as early as possible and engage with an AV supplier during the planning stage. AV Companies are highly experienced in many aspects of event planning and can spot and help guide you through any of the challenges. Be clear on your goals, brand and key message of your event and always keep your suppliers updated of changes as soon as possible.

The Most Important Things to Remember for Your Wedding

Your wedding day is one of the most important days of your life. A beautiful, special and sentimental ceremony that brings two individuals together, for life. The sight of your parents getting overwhelmed with happiness, those not so perfect speeches, and not to mention all those embarrassing dad dance moves. It makes the wedding day a perfect day, bringing together friends and family from across the world to celebrate the love and happiness for the newlyweds.

However, when it comes to planning that picture-perfect wedding it can be an extremely stressful and daunting time for most. Below is a list of the most important factors for your unforgettable day, to make your wedding planning that little bit easier.

The Wedding Rings

The wedding bands and engagement rings are often the most significant investments in your wedding, it’s believed that wedding rings tell how much you value the love of your partner. Wedding rings are a symbol of marriage, they are the visible images representing the unification of the love birds. Several factors should be considered when choosing your wedding rings such as; the stones, metals, diamonds, and their arrangements. When going to purchase the rings it’s always a good idea to have a second opinion, as you will have these rings for the rest of your life.

a beautiful wedding venue

Ceremony Location

The wedding location… a difficult decision for most. So many beautiful places to choose from; an old renovated barn, your local church, or even your local community hall. Wherever you wish to get married, you need to ensure you have all the perfect decorations and equipment to pull off this picture-perfectly. Whether that be some exquisite drapes or some extravagant table decorations, or even some giant light up letters for your dance floor. Get in touch today on 0843 8869672 if you’d like to find out how we can help to splash out your wedding venue.

Dresses & Attire

Being confident and comfortable on your wedding day is ever so important. As the bride, all eyes will be on you, so ensuring you have the perfect outfit which is not only beautiful but comfortable and makes you feel confident is key. Don’t think you always have to buy the most expensive dress, there are so many great businesses out there that sell amazing dresses for affordable prices, ensure you do plenty of research before settling on the one.

Florist and Décor

When deciding on how to decorate your wedding venue it’s always best to pick a few simple things beforehand, these include; themes, colours, styles, and layout, these categories will help when making other decisions. If you have an idea about the colours, theme etc you will be able to make other key decisions with a little more ease. When choosing your flowers, you can follow those pointers to ensure that they are incorporated with the decor.

Entertainment

Depending on your theme, live music is a good option. Bring your family and friends to the dance floor to show off those embarrassingly wonderful dance moves. Another option would be to hire a DJ, providing that more upbeat atmosphere playing all those party pop beats. If you wanted to go that extra mile, you may wish to hire a live performer. Live performers can provide a draw-dropping performance to leave all your guests in complete awe. Contact an event management company to organise a wedding hire package, let the experts do their jobs can save you a lot of trouble.

Here at Concept Events, we have years of experience when it comes to providing those special days with the ultimate decor and additional pieces. Benefits of hiring a DJ

Good music can really make an event of any kind so much better. Hence why most people do hire a DJ for an event. You may be having second thoughts about having a DJ at your event due to the fact you think they just press a button and have a music playlist. However, this is not the case. They have extraordinary skills and the expertise to be able to read the crowd and the mood in the venue. Below we will look at the benefits of hiring a DJ for your event.

Here are a few reasons why you should hire a DJ

Music selection

Professional DJ’s have amazing music selections. They have an extensive library of different genres, eras and cultures. You won’t have to worry about keeping family and friends entertained due to the fact they can entertain themselves with the DJ with song requests and they will be encouraged to dance.

Equipment

The DJ will have all of their own equipment such as lights, props, backup systems, audio equipment and in some cases will have flooring to lay down so it’s appropriate for guests to get up and dance. DJ’s are more than happy for you to add your own twist too so you can add a bit of personality to the event. An experienced DJ is not only knowledgeable but also reliable in the case that a problem occurs related to the sound system. Therefore, with a DJ, there is a high possibility that your event will be a success because DJ’s can identify problems and fix them before they arise. In fact, most DJ’s come equipped with backup equipment and tools just in case a problem arises. For instance, lights, batteries, and cords are some of the equipment DJ’s carry in case they encounter a problem.

DJ Decks

Great interaction with the guests

Professional DJ’s do more than just playing music. A good DJ will interact with your guests, take requests and ensure that the guests are satisfied with the music being played. Sometimes, the DJ is responsible for announcing your bridal party, hold contests and even offer up a toast just to make your event memorable and fun. Since DJs have the ability to ‘read a room’, they can easily tell the mood of the event at different times and choose the type of music that suits the mood. For instance, they can play high energy music or slow things down depending on the party mood.

You will have more time to interact with guests

When you host an event, guests, friends, and family expect to interact with you even if it is for a short period of time. If you don’t have a DJ and you are the one choosing the playlist or changing the songs, it can be quite hard interacting with your guests. It is advisable to hire a DJ to offer entertainment so that you can have a great time interacting with invited guests.

There is no doubt that DJ’s are great for all types of events, so no matter what you have planned here at Concept Events we think you should always hire a professional DJ. If you have any questions or queries please don’t hesitate to get in touch via 08438 869 672 or alternatively head over to our contact page and fill in the online contact form and we will be in touch as soon as possible.

The Importance of Event Management

Why Event Management Should Be Carried Out By Professionals

Event management might look somewhat straightforward, but the reality is that it requires professional knowledge. You’ll love it when your event happens in an orderly manner. To enjoy this privilege, it is vital to seek the help of professional event management planners. In this piece, we are going to look at the importance of event management, and the reasons why it should be carried out by a professional.

Saving Money and Time

Time is money, and wasted time can never be recovered. Event management helps you to save time when carrying out some crucial activities. A professional can help you achieve that you’d like, within your budget. They can coordinate and execute the work easily, and this helps to save time. You might wonder how they do it, but the whole thing is not complicated at all. It is all about the experience. Professionals are well-acquainted with people involved in event management. When it comes to artists, performers, caterers, suppliers of audio equipment, decorators etc they are well connected with them.

Woman In Crowd Celebrating At Sports Event

You will get the Expert

Professional event managers are exceptionally knowledgeable. They can deal with any uncertainty that can happen at your event. They understand what needs to be done, they can ask the right questions, and they’ll give you an estimate of how long it will take to fix anything. Their good organisation makes them work fast, and complete the task within the stipulated time. When working with a professional in your event you can be rest assured that you’ll interact with your guests, without having to worry about a thing.

Technological Aspect and Creative Ideas

We are living in a digital world, and that is why we should include technology in event planning. For that reason, it is critical to employ a professional. They are well versed with the latest technology that can be implemented in your event. There is software to get in touch with your visitors, you can communicate digital displays and etc. Again, a professional has more ideas that will make your event look outstanding and unique. Just make your event run smoothly by hiring the right experts.

Customer Satisfaction

What a joy if you can satisfy both yours and your guest’s needs. It is obvious that your utmost concern is customer satisfaction. No matter how much you enjoyed the event, if you or the guests were not happy, then we can assume that the event was a big bust. This is where a professional event manager comes in. Customer satisfaction is a priority to both sides. That is why event planners take this into account heavily when planning your event.

These are essentially a few advantages of having event management done by professionals. If you are looking for a reliable company with the right experts, or have any enquiries, feel free to visit our contact page and fill out our form or call us on 0843 886 9672.

Tips For A Successful Event.

A successful event requires proper planning. Achieving the desired plans matters a lot. They determine the success or failure of your event. Hosting a bad event is everyone’s nightmare, and no one wants to be in that situation in front of their guests. Luckily, there are some tips which can be executed to make your event memorable. Let’s take a look at some of these tips;

1. Research.

Planning an event requires thorough researching to have an idea of what you are to face. If you are planning for a graduation ceremony, its best to visit some google sites to get opinions and ideas from other events, it’s not a must you copy the specific ideas but having a sneak of what the whole thing entails is essential.

2. Make A Budget.

Events require money. To have a successful event you need to make a reasonable budget, for instance, the amount of money you will need for food, entertainment and even drinks. It’s also important to set aside some funds for emergencies. For instance, you decide to have your birthday party at the beach, but unfortunately, the weather lets you down, and it rains. You will be forced to look for another venue for your party. That emergency venue will also cost you some cash. You will be on the safe side if you have already planned for such an unforeseen scenario.

2. Get A Cooperating Team.

A good team makes work easy. Things ran according to planned once everyone plays his or her part. Make sure the rules are clear to everyone to avoid confusion. The team should be there during the event planning and also during the big day. Group the team according to zones, those that will be at the catering department, those who will be registering the guests, every team should be in the right place at the right time. However, it is essential to have a document of rules for each zone so that they can know the roles they are supposed to play.

3. Choose an Appropriate Location.

The location is an essential part of events. Choose a site that is easily accessible to your guests. There’s no need to get an expensive area, you can choose something simple and improvise, you might be surprised how beautiful the place will turn out after some decorations.

4. Choose The Right Source Of Entertainment.

An event without any entertainment is dull, and that can make your guests leave earlier than expected. Knowing the type of audience, you will be hosting will make it easy for you to see the kind of entertainment you will need to keep them relaxed.

4. Get Some Music

Make sure the DJ or live band is there to entertain your guests. This can break the ice between guests and will get everyone up and dancing. If you will require to hire a band, it’s essential to look for one much earlier to avoid any inconvenience.

We hope that our blog has made it easier for you to plan an event and you won’t have to be worrying and stressing out the last minute. If you have any questions or queries please don’t hesitate to get in touch via telephone on 0843 886 9672 or head over to our website for more information.

Summer is Approaching! Uplift Your Garden for those Summer Parties

Summer is quickly approaching and that only means one thing… BBQ season! Get your garden ready with our easy tips and tricks to uplift your garden ready for those summer parties. With the unpredictable UK weather it’s best to enjoy the sunshine while you can, so make sure you’re ready for a last-minute barbecue banquet. There are many ways in which one can spruce up their garden without having to fork out on an expensive gardener or landscaper to get their garden looking as good as new.

Lighting

Garden parties tend to either end after sunset or migrate inside. Keep the party going all night long with some lighting, providing your garden with the necessary light to allow you to enjoy your garden space at night.

Fairy lights are a great way to create that cosy yet elegant atmosphere, wrapping your trees in fairy lights will provide that necessary glow of light as well as bringing life to your garden. This is an extremely popular trend sweeping the nation in the early spring months of 2019, with oodles of homes encasing their trees in fairy lights. We’d recommend using a warm white LED instead of a bright white LED light. This is because the fairy lights will provide more of an ambient glow than an intensely bright light.

Another popular way in which you can light up your garden is with lanterns. Lanterns are a great alternative to your standard wall light, available in many colours and shapes, they can suit any style or colour scheme. Waterproof lanterns will brighten up your events no matter the weather.

Fairy Lights

Use a Jet Wash

A jet wash is a great way in which you can give your brickwork, stone slabs or patio a fresh look without spending hours scrubbing. This will immediately lighten up any space! Get rid of all the dirt and grit ready for your BBQ. You can either opt to hire a jet wash or buy one, it’s up to you… or if you have some very kind family or friends, they may lend you theirs.

Herbs & Flowers

Fill your garden with endless amounts of bright, colourful flowers and oodles of herbs. The herbs will provide your garden with a beautiful armour, that will last all year round. Herbs tend to thrive in your typical garden soil if your garden has good drainage. Another great idea to keep your herbs looking neat and tidy is planting them in raised beds, this will give the plants the necessary drainage and it will be easier for you to look after. Lavender and rosemary are some of the most popular herbs, however, these herbs need to be planted in a gritty soil to thrive. For those gardens with small amounts of light, we would recommend; mint, chives, parsley and tarragon.

Filling your garden with colourful flowers will bring a smile to anyone’s face. If you have younger children, this is the perfect time to get them involved and get those muddy hands. Sunflowers are always a favourite when it comes to kids, having a competition to who can grow the tallest sunflower is always a must. Sweet peas, marigolds, fuchsias and pansies are some other great choices. Easy to plant, grow and look after, they are a great way to fill your garden with colour.

Friends Together In a Garden

Paint the Shed

Having a dull, rundown and old shed at the bottom of your garden can be an eyesore. Give your shed a fresh coat of paint and bring it back to life, using a specialised paint will protect the wood from further damage. Don’t just levitate towards the browns, greens and blacks, opt for something more fun. That can give your garden that added something special. White is a great option, but it can become dirty quickly, so be ready to give it a scrub every now and then. Grey is a great alternative to white, it is better at hiding those dirt spots and still looks bright. If you really wanted to go that one step further why not go for a bright blue, pink or purple? The space is yours so let it show your true colours. This is another task at which you could get the children involved, let them decide on the new look. Why stop at the shed, why not give your fence a fresh coat too?

All these little tips and tricks will bring your green space back to life just in time for BBQ season. Get your family and friends together this summer for the ultimate party.

Don’t Want to Forget Something on Your Big Day? Here’s a Wedding Checklist

With so much happening at the time of the wedding and so much to remember and prepare for, of course, it’s easy for things to be forgotten whether they are big or small. If you’re fearful about being unable to remember something or in fact a cluster of things, check out the following checklist of large and minor tasks to prompt yourself of what needs sorting or in some cases booking!

Printed items

If there aren’t any invitations, then simply there will be no wedding! But aside from invitations, thank you cards are also very important and easy to forget in the hustle and bustle of wedding planning.

Printed items not to forget about leading up to the big day:

  • Place cards for tables
  • Thank you notes
  • Menus if you have hired a caterer

Venue information:

There are some significant bits that you’ll need to find out before you plan your chair arrangements and set up for the reception and that includes:

  • Disabled access – for friends and family in wheelchairs
  • Maximum capacity – find out the maximum amount of people the venue can accommodate
  • Safety – note where the fire escapes are and any additional safety measures you should know about at your chosen venue
  • Flowers – decorations for the venue

Ceremony

There are obviously going to be lots of questions that you will want to ask before you plan the ceremony. From candle lighting to seating décor – here’s what you will need to remember:

  • Will the location allow candles?
  • Seating décor
  • Flower girl petals
  • Rings and ring cushion

Reception

The wedding reception is the fundamental of the entire night – when the real celebrations begin and it’s essential that all details are filled the things that will have to be remembered are:

  • Table decorations
  • Table cloth and seat covers
  • Music and disco floor (DJ or Live Group)
  • Cake table
  • Wedding photographer
  • Gifts table
  • Place cards so guests know where they are sitting
  • Something that has become increasingly popular at weddings is a photobooth/photo backdrop

Bridal party

It’s very easy to forget some of the essentials that involve the people helping you celebrate the big day but no need to worry as we have got you covered.

  • Bride and bridesmaids
  • Hair and makeup – it is advisable that you have a trial run done with the hairstylist and makeup artist.
  • Dresses – whatever you decide on for yourself and your bridesmaids it’s best to go with the option that flatters everyone’s figure – don’t forget you can always find multiple styles in the same colour dresses.
  • Any added accessories – necklaces and earrings.

Transportation

Logistics of the entire day are important because that’s what is going to make the whole day run smoothly. Make sure you plan all the transportation for the big day.

  • Bridal car – for the bride and the father of the bride, then the bride and groom.
  • Bridesmaid car – for the bridesmaids and flower girl
  • Groom car – for the groom and his best man
  • Honeymoon car – the car the bride and groom leave the reception in.
  • Plan transport or cars for elderly relatives without transportation.

Food and beverages

The food has to be able to cater for everyone – check if anyone is vegetarian, vegan, gluten-free or has any allergies or other dietary requirements.

  • Signature drinks
  • Cash or open bar
  • Decide whether you want people to have a plated for a sit-down meal or buffet food.

Weddings | Save money on your event decorations

Weddings are great events and help the happy couple celebrate their love for one another, however, weddings don’t come cheap. Take a look below to see some smart ways you can save on wedding decorations but still have a very wonderful, special day. Whilst still have some money left over for a honeymoon!

Location, Location, Location

There is no better way to save money on wedding decorations than to pick a beautiful wedding setting. If you’re planning a wedding on a tight budget it can be tricky to get that gorgeous setting. There are many places that can be transformed with a few balloons and decorations, a country setting and small-town locations are often a lot more feasible, considering the British weather it would be difficult to guarantee good weather but the local church would be a very good option due to it being close. The transport wouldn’t be very expensive either.

Use what’s around you!

Flowers are able to dress up any occasion and make the setting look romantic, they don’t have to be expensive, you may even have some you’ve grown yourself in the garden! You could even go really rustic and get branches and wrap lights around them. This would also give a very nice setting as this can add a romantic vibe to a night-time wedding or reception.

Ideas for tables

Organising and decorating wedding tables can cause a lot of stress. Following a theme can make the table decorations very expensive due to the fact that they may be hard to find. Many people tend to opt for lots of round tables in a venue with name cards so people know their allocated seats, however, printing 150 plus name cards can be very expensive. There are many easy DIY ways to get around the issue such as make the cards yourself by getting some coloured paper and sticky letters, or stones are another very good option – they don’t have to be perfect, get a white pen and hand write names on them.

Put your guests to work!

One of the most expensive things at a wedding is a photographer, but if you can’t fit having a photographer into your budget why not put your guests to work. One of the most beautiful things about weddings is how the day unfolds differently for all the guests. Every group or individual has a different experience so allow your guests to capture those special moments by getting disposable cameras, you can save on the expensive costs of a photographer, you would have to set money aside for the costs of developing the film, but it will be a lot cheaper than a professional photographer!

Don’t go overboard

Only get things you really need, join your local Facebook buy and sell group page, people often sell decorations after their wedding as they have no use for them anymore and obviously, they will be at a discounted price, therefore, will fit in with a budget. Alternatively, shop at the right time to be ready for Black Friday and January sales.

Wedding draping services can transform a more budget-friendly venue into something that looks like a fairytale wedding, to find out more about our services feel free to browse through our website or get in touch.

How to be successful in event management

Event management

The process of planning an event can be very stressful to event organisers. The organisers are often left stressed and overwhelmed by the process. However, this doesn’t have to always be the case for you. There are ways to plan and organise an event successfully without the unnecessary stressing. So, what are the secrets for a stress-free event planning process and management? Well, here are the top steps and tips that will work out well for you:

1.  Begin the Process Early

Most event organisers underrate the importance of beginning to plan early. Make sure you start out as soon as you can. For a big event, it’s safe to begin the process four to six months ahead to avoid any time holdups. For everything to flow smoothly towards the final days to the event, ensure the contracts of all the vendors are completed weeks before the date of the event.

2.  Stay Flexible

Things are likely to change during the event planning. This could be the times, type or location of the event. This shouldn’t be a mishap for you as you should stay flexible and able to meet the changing needs.

3.  Negotiate

As opposed to what many vendors will tell you, nothing is non-negotiable. Unforeseen costs in an event are a common thing. Therefore, you need to negotiate and get the lowest priced deals. Before meeting any vendor, always decide of your budget and try to get an offer at between 5 to 10% of your original budget.

4.  Assign Responsibilities

Have the elements of the event broken down into sections and then assign every member of the team a section. This will ensure that they’re more focused on their section and leaving nothing to chance.

5.  Have a Shared Document

Every member of the team needs to be on the same page with everyone else. Hence, have a central document or manual with details on everything touching on the event such as attendee information, floor plan, and vendor contracts. It’s easier to spot anything that’s out of place and everyone in the team can refer if unsure.

6.  Have a Backup Plan

Issues are bound to arise in every event. Hence, assess the most vital assets and come up with a backup plan for each.

7.  Do Run-Throughs

Two weeks before the date of the event, do a run through of the whole process of the event. Meet up with the whole team and give them a mental picture of everything from the beginning to the end. These meetings are great as they often highlight potential complications. Doing a run through early will allow you time to correct them before the actual event.

8.  Do an Immediate Follow-Up

Taking a break after the event is a common pitfall for many event organisers. Yes, the logistics are done but it’s still vital to follow things up with attendees. This can be done on social media or over email in order to know whether the event was successful or there were issues.
